HR Executive

We are looking to hire for the position of "HR Executive"

Roles and Responsibilities:
TALENT ACQUISITION - handles the end-to-end recruitment process from job posting/coordination with the recruitment agencies, shortlisting, lining up and interviewing candidates, arranging psychometric testing, preparation of offer letter, mobilization, and onboarding; knowledge of workforce planning is an advantage. Preparation and submission of Job Orders for manpower requests for overseas recruitment.
TRAINING AND DEVELOPMENT – facilitate the onboarding orientation, creation of a functional training plan, and coordination with the training PICs. Preparation of Annual Training Plan, liaise with internal/external training facilitators, prepare the training budget request and logistical preparation, monitor the training execution, and maintain the record management.
PERFORMANCE MANAGEMENT – assist the HR Manager in monitoring the monthly and yearly departmental employee performance evaluation, KPI reviews, and probationary assessment. Administer the 360° Feedback activity for key talents.
TOTAL REWARDS – assist the HR Manager in employee promotion and career development, and rewards and recognition program execution.
EMPLOYEE ENGAGEMENT – lead the employee engagement committee in planning and execution of health and wellness activities, sports engagement programs,s, and year-end employee gathering events. Ensuring that the employee communication programs are in place by organizing the quarterly general assembly and updating the employee notice board. Administer the yearly employee engagement survey across the organization.
LABOR RELATIONS – maintain the employee grievance tracker, prepares and issue disciplinary memo and conduct the orientation for the Employee Handbook and Code of Conduct.
HR DOCUMENT FORMULATION – creation, revision, and update of Organizational and Departmental Structure, Job Descriptions, HR Policies, SOPs, Guidelines, and Forms.
AUDIT COMPLIANCE – ensure compliance with IMS and other certification bodies thru maintaining the training records and showing evidence of adherence to established SOPs and guidelines. Maintain documents required for audits and prepare the action plan for the observations and findings. Conduct in-house audits for Security and or housekeeping departments.
REPORTS PREPARATION – responsible for maintaining and creating monthly HR and Admin Dashboard – Talent Acquisition, Attrition Rate, Labour Relation, Training & Development, Employee Engagement, Departmental Monthly OT, Accommodation Occupancy Report, KPI Monitoring, Vehicle Renewal, Stationeries and Telephone Utilization.
OTHER TASKS – reliever for general HR and Admin activities in case of staff vacation – timekeeping and payroll processing, VISA Application, Renewal and Cancellation, Employee Leave monitoring, Air ticket booking, and employee service transportation management, Canteen Food Monitoring, Uniform, PPE and Stationeries issuance.
Education Qualification:
Preferably graduate of Psychology or HR Admin courses; MBA in Human Resources is a plus.
Job Requirements:
Minimum of 7 years experience in a similar FMCG production environment and worked in general HR and Admin functions.
Certifications Needed:
Proficient in MS Office skills (excel, word, outlook, and PowerPoint) and with excellent data entry skills.
